Email & Privacy Policy

This Email & Privacy Policy describes how Mailtech Mailing Systems, Inc. (“Mailtech,” “we,” “us” or “our”) collects, uses, discloses and otherwise handles information in connection with our website, our products and services, and our business communications. Please read this Policy carefully. By using our website or communicating with us, you acknowledge the practices described below.

1. Scope

This Policy applies to mailtech.com, to the related domains that Mailtech operates for email correspondence and for the redirection of visitors to mailtech.com, and to the business communications that Mailtech sends by email, telephone and postal mail. It does not apply to websites, products or services operated by third parties, including the equipment and supply manufacturers whose products we distribute, each of which is governed by its own policies.

2. Information We Collect

Information you provide to us. When you submit a form on our website, request a quotation, place an order, schedule service, subscribe to a newsletter, attend an event or trade show at which we exhibit, or otherwise correspond with us, we collect the information you choose to provide, which may include your name, job title, company name, business address, email address, telephone number, and the content of your request or correspondence.

Information collected automatically. When you visit our website, we and our service providers may automatically collect certain information about your device and your use of the site, including your Internet Protocol (IP) address, browser type and version, operating system, referring web page, pages viewed, the dates and times of your visits, and similar usage and diagnostic data. This information is collected through server logs, cookies, pixels and similar technologies, as described in Section 4.

Information from other sources. We may also obtain business contact information from publicly available sources and from third parties, and may combine it with information we already hold. Such information generally consists of professional details, such as name, job title, employer, business email address and business telephone number.

3. Website Analytics and Visitor Identification

We use analytics services to understand how our website is used and to improve its content and performance. In addition, our website uses visitor identification technologies that may associate a visit with the organization from which it originates. These technologies rely on information such as IP address and network data, cookies and similar identifiers, and information obtained from third parties, and in some cases may associate a visit with business contact records connected to the identified organization. We use the resulting information to understand which organizations are interested in our products and services, to evaluate the effectiveness of our marketing, and to inform our sales and business development activities, which may include subsequent communications to business contacts at an identified organization. You may limit the operation of certain of these technologies by adjusting your browser settings as described in Section 4.

4. Cookies and Similar Technologies

Cookies are small text files placed on your device by a website. We and our service providers use cookies, pixels and similar technologies to operate the website, to remember your preferences, to measure traffic and usage patterns, and to support the analytics and visitor identification functions described in Section 3. Most browsers allow you to refuse or delete cookies through their settings. If you disable cookies, certain features of the website may not function as intended. We do not currently respond to browser “Do Not Track” signals.

5. How We Use Information

We use the information described in this Policy for the following purposes: (a) to respond to inquiries and requests, prepare quotations, process orders, deliver products, provide installation, training, service and support, and administer our relationships with customers and prospective customers; (b) to communicate with businesses and business contacts about our products and services, including businesses with which we have not previously done business, as described in Section 6; (c) to operate, maintain, secure and improve our website, systems and services; (d) to analyze trends, measure the performance of our website and marketing activities, and develop our business; (e) to comply with legal obligations, enforce our terms and protect our rights, property and safety and those of others; and (f) for any other purpose disclosed to you at the time the information is collected or to which you consent.

6. Business Communications

Mailtech is a business-to-business company serving commercial printers, mailing service providers, label and packaging converters, in-plant print operations and similar organizations. As part of our ordinary sales and marketing activities, we may send email, place telephone calls or send postal mail to professional contacts at organizations that we believe may have an interest in our products and services. Such communications may be directed to contacts with whom we have not previously corresponded and whose business contact information was obtained from the sources described in Section 2.

Communications of this kind are addressed to recipients in their professional capacity, are sent from email accounts and domains operated by Mailtech, identify Mailtech as the sender, include a valid physical postal address, and include a means of declining further communications. We send such communications in accordance with the Controlling the Assault of Non-Solicited Pornography and Marketing Act of 2003 (CAN-SPAM) and other applicable law. We do not authorize affiliates, resellers or other third parties to send commercial email promoting Mailtech or any Mailtech domain on our behalf, and we do not permit the use of our domains for commercial email by anyone other than Mailtech personnel and the service providers that deliver email for us.

7. Your Choices

Email. You may decline to receive further marketing or sales email from Mailtech at any time by replying to any such message with a request to that effect, by using any unsubscribe mechanism included in the message, or by contacting us using the information in Section 13. We process such requests within ten business days as required by law, and typically sooner. A request to be excluded is applied across all domains and email systems operated by Mailtech, and the address concerned is retained on a do-not-contact list for the purpose of honoring the request. A request to decline marketing email does not prevent us from sending transactional or relationship messages, such as responses to your inquiries, order confirmations, service communications or invoices.

Telephone. You may ask us not to call you by informing the caller or by contacting us as set forth in Section 13.

Access, correction and deletion. You may request access to, correction of, or deletion of the personal information we hold about you by contacting us as set forth in Section 13. We will respond to such requests in accordance with applicable law. We may need to retain certain information for recordkeeping, to complete transactions, to honor do-not-contact requests, or as otherwise required or permitted by law.

8. How We Share Information

We do not sell personal information. We may share information as follows: (a) with service providers that perform functions on our behalf, such as hosting, analytics, communications, customer relationship management, order fulfillment, shipping and payment processing, each of which is permitted to use the information only to perform services for us; (b) with equipment and supply manufacturers whose products we distribute, where reasonably necessary to fulfill an order, register a product, process a warranty claim or arrange manufacturer support; (c) with professional advisors such as attorneys, accountants and insurers; (d) in connection with a merger, acquisition, financing, reorganization or sale of all or part of our business, in which case the information may be transferred to the successor entity; (e) as required by law, regulation, legal process or governmental request, or where we believe disclosure is necessary to protect our rights, property or safety or those of others; and (f) with your consent or at your direction.

9. Data Retention

We retain information for as long as reasonably necessary to fulfill the purposes described in this Policy, including to maintain business records, to provide ongoing service and support, to comply with legal, accounting and reporting obligations, to resolve disputes, to enforce our agreements and to honor do-not-contact requests. The retention period for any particular category of information depends on its nature, the purposes for which it is used and applicable legal requirements.

10. Security

We maintain administrative, technical and physical safeguards that are intended to protect the information we hold against unauthorized access, use, alteration and disclosure. No method of transmission over the Internet or method of electronic storage is completely secure, and we cannot guarantee absolute security.

11. Children

Our website and services are directed to businesses and business professionals and are not intended for children under the age of 16. We do not knowingly collect personal information from children.

12. Reporting Misuse of Mailtech Domains

Mailtech takes the integrity of its name and domains seriously. If you receive an email that purports to come from Mailtech or from a Mailtech domain and that you believe is fraudulent, unauthorized or inconsistent with this Policy, we ask that you report it to us using the Contact Us page or the contact information in Section 13, including, where possible, the full message headers. We review such reports and take appropriate action.
